What a CRM system is, in plain words
A CRM system is software where a business keeps its clients, bookings or orders and its team’s work in one place. Below: what it does, who needs one, what it costs in Ukraine in 2026 and how to choose one.
What a CRM system is
A CRM system (Customer Relationship Management) is software where a business keeps its clients and the work with them: contacts and history, bookings or orders, reminders, the team and the results. Instead of a notebook, a spreadsheet and messenger threads, there is one place that shows who a client is, what they bought or booked and what to do next.
Put simply, a CRM remembers for you. Who called yesterday, who missed a booking, who is due a reminder about a repeat visit, how many orders a regular has placed: all in one place, not in a receptionist’s head or scattered across chats.
“CRM” and “CRM system” mean the same thing. Modern CRMs work in a browser and on a phone: there is nothing to install, the data lives in the cloud, and the whole team has access, each within their role.
What a CRM does
Features vary, but most CRMs for small businesses cover six jobs:
- A client base. Contacts, visit or purchase history, notes and the source the client came from.
- Bookings or orders. A calendar of stylists, bays or rooms for services; orders, payments and delivery for stores.
- Reminders. To clients about their visit, so fewer of them miss it; to the team about a call or a repeat sale.
- Team and roles. The owner sees everything, the receptionist sees bookings and clients, a stylist sees only their own schedule.
- Analytics. How many bookings and sales, which clients don’t come back, which services or products earn the money.
- Integrations. Your website and booking page, messengers, payments, delivery services, accounting software such as BAS (and 1C if you still use it).
In 2025–2026 a seventh job joined the list: an AI assistant that answers clients and books them in by itself. More on that below.
Who needs a CRM, and who doesn’t yet
You need a CRM when you have more clients than one person can keep in their head. Signs the moment has come:
- bookings get lost between a notebook, Instagram and Viber, and clients turn up “at the wrong time”;
- you have more than two staff and nobody is sure who promised what to whom;
- clients don’t come back and you don’t know who exactly or when they were last in;
- you answer messages in the evening or the next day and lose requests;
- to see what you earned this week you have to gather numbers from several places.
An example. A salon with six stylists keeps bookings in a paper diary and Instagram. The receptionist works until 8 pm, but clients write in the evening and at night: some answers only go out in the morning, when the person has already booked somewhere else. Twice a week two clients land on the same slot because a booking from Direct didn’t make it into the diary in time. Nobody knows which regulars haven’t been in for three months. This is where a CRM pays off fastest: one calendar for every stylist, bookings clients make by themselves, a reminder the day before, and a list of whom to get back in touch with.
If you work alone, have a few clients a week and they all write to one place, a CRM can wait: a calendar and a spreadsheet will do. Even then, make sure clients can book by themselves without a chat.
Kinds of CRM
For small businesses in Ukraine, CRMs fall into four groups by the job they do first.
- B2B sales. Deal pipelines, tasks for managers, calls and email. For companies with a sales team and long deals.
- Service booking. A staff calendar, online booking, reminders, memberships. For salons, studios, clinics and repair shops.
- Online stores. Orders, stock, payments, Nova Poshta, chats with buyers.
- Industry-specific. Built for one niche and its paperwork: a dental chart, a car service work order.
Plugix CRM sits in the two middle groups: one base with its own edition for each of 14 industries, from a salon and a car service to an online store and a car dealer.
What a CRM costs in Ukraine in 2026
As of 20 October 2026, CRMs for small businesses in Ukraine cost from free plans with limits to about 5,000 ₴ a month. They charge in different ways (by users, by booking places, or by orders and messages), so compare the price for your size, not the “from” figure. Most CRMs don’t list an AI assistant that answers clients on their price pages, and where there is one, it is often sold separately.
Plugix CRM costs from €19 a month, or from €129 with the AI assistant; the price for your industry and size is on its page. What Plugix CRM and the CRMs businesses in Ukraine look at most have:
| CRM | AI that answers clients | For service booking | For online stores | Price in hryvnias |
|---|---|---|---|---|
| Plugix CRM | ||||
| KeyCRM | — | — | — | |
| SalesDrive | — | — | ||
| Sitniks | — | — | — | |
| EasyWeek | beta | — | ||
| Beauty Pro | — | — | — | |
| Fresha | extra charge | — | — |
A dash means no, or not stated on the company’s site. From the companies’ public price pages and sites as of 20 October 2026.
Beyond the price, check whether you pay extra for setup, messenger numbers or SMS, whether paying yearly gives a discount, and whether you can export your data if you leave.
How to choose a CRM: 7 questions to ask yourself
- What matters most to me: bookings, orders or deals? That decides the kind of CRM, not the number of features.
- Who will work in it, and on what device? If staff open their schedule on a phone, check the mobile version.
- Where do my clients write now? Instagram, Viber, Telegram, the website: the CRM should gather messages from there, not add one more window.
- What will it cost for my size a year from now? Price it for your number of people or orders, with the extras.
- How will I move my data in, and can I take it out? Import from Excel or CSV and export are a must.
- Who will help me launch? Setting up the price list, team and booking often matters more than features.
- What about data and access? Roles for the team, no shared passwords, where the data is stored.
How to move to a CRM in a week
- Day 1. Choose a CRM and export your clients from wherever they are: a spreadsheet, a phone book or the old program.
- Day 2. Add your price list: services with durations and prices, or your product catalogue.
- Day 3. Add the team, schedules and roles.
- Day 4. Connect the booking page or website, messengers and Telegram notifications.
- Days 5–7. Run the CRM alongside the old way and fix what gets in the way. After a week the old way can go.
The main rule: move only what you will need, meaning clients, the price list and upcoming bookings. Years of history can follow later.
CRM and AI assistants: what changed in 2025–2026
Until recently a CRM only stored data and people answered the clients. Now CRMs increasingly come with an AI assistant that answers questions and books clients into free slots by itself: at night, at weekends and when the receptionist is busy.
The market is moving fast: some services sell an AI concierge as a separate paid add-on, others are testing AI booking in their website chat, and some build an AI helper even into a free plan, though as a helper for the owner rather than for clients.
A good AI assistant answers only from your CRM’s data: real prices, services and free times. When the data isn’t there, it doesn’t make things up; it hands the conversation to a person. In Plugix CRM such an assistant is part of the bundle: it books clients on your booking page and in messengers, and for stores it also takes orders in the chat — in two channels of your choice, a third and more with the “Social” package. Instagram comes after Meta’s review of our app.
Questions
Is a CRM a program or a service?
A modern CRM is an online service: it runs in a browser and on a phone, the data lives in the cloud, and you pay a monthly or yearly subscription. There is nothing to install.
Are there free CRMs?
Yes, with limits: usually basic online booking for one owner and a few dozen bookings a month. Reminders, the team, analytics and integrations come with paid plans. Plugix CRM has no free version, but before you pay we show you the CRM on your own price list or catalogue.
Why is a CRM better than a spreadsheet?
A spreadsheet stores data but does nothing by itself: it won’t remind a client of a visit, show free times, split access between staff or take a booking at night. A CRM does all that automatically.
How long does it take to set up a CRM?
For a small salon or car service, a few days to a week: the price list, team, schedules and booking page. Longer with several locations, a big catalogue or a BAS or 1C integration.
Does a sole trader need a CRM?
Not always. If you have few clients and they all write to one place, a calendar will do. A CRM pays off once bookings start getting lost, or when you want clients to book by themselves without a chat.
